The Role

We are seeking a friendly, organised, and adaptable Head of First Impressions & Administrative Assistant to be the welcoming face and steady backbone supporting our daily operations.

This dual-focused role combines front-of-house reception with administrative support, playing a vital part in admissions, family engagement, and maintaining accurate records, as well as liaising with the website and social media team. You will be the first point of contact for children, families, and visitors, ensuring every interaction reflects care, professionalism, and respect.

You will be line managed and supported by the Head of Operations, working closely together to ensure smooth day-to-day administration and a consistently positive experience for our community.

Key Responsibilities

Reception & Customer Experience
● Warmly welcome children, families, and visitors in person, by phone, and via email
● Create a calm, approachable, and supportive front-of-house environment
● Respond to enquiries with empathy, clarity, and professionalism

Admissions & Administration
● Support the admissions process, including data collection and follow-up sbr>
● Maintain and update student and family records accurately
● Assist with enrolment documentation and internal reporting
● Support staff with general administrative tasks as needed

Systems & Data
● Use CRM systems to manage contacts, admissions, and communications
● Confidently work across a range of software platforms (email, databases, spreadsheets, scheduling tools)
● Ensure records are kept up to date and handled with
confidentiality
● Update social media and the website to reflect any changes and updates

About You

You are someone who:

  Is naturally approachable, warm, and professional
● Adapts easily to the needs of children and families in a dynamic environment
● Communicates clearly and kindly, even in busy moments
● Is organised, detail-oriented, and reliable
● Feels confi dent learning and using digital systems and software

Desirable Experience

● Previous experience in reception, administration, or customer-facing roles
● Experience using CRM systems
● Background in education, working with children and adults with SEND, community services, or family-focused organisations (highly regarded)
